Introduction

Thank you for purchasing the SMART Resource Rolodex program!  We hope you’ll use our software to build your own resource library – one where you can organize, verify, rate and keep notes on your favorite personal and business Internet sites.

SMART Resource Rolodex was designed to be simple, intuitive, flexible, and have the ability to grow as your needs change.

For example, you can enter your resources one at a time or import and/or export unlimited numbers from Excel spreadsheets. The software will the verify each link to make sure it is working, and grab the site’s favicon (if available)and meta tag description. Once verified, it will either display a green check mark, which indicates the site is live, or a red circle, which indicates that the site’s link is not working.

Even better, you can edit your resources and their descriptions, and give them 1-5 star ratings.

You can also search and sort your resources by categories, URLs (resource links), descriptions and ratings.

Following are instructions for installing and using your SMART Resource Rolodex. We hope you begin using it soon so you too, can start benefiting from this powerful organizational tool.

Directions

Section 1:  Installing Software

You will receive the software as a zip file.  Once unzipped you’ll notice that it contains two icons (as shown in the screenshot that follows). The program runs on  Windows.net.  If Windows.net is already installed on your computer, then click on  the top icon (Rolodex Setup). If not, click on the bottom icon, “setup.”

The program will install to your main C:\ hard drive unless you direct it elsewhere.  It will also install an icon on your desk top (See Figure 1.1).

Section 2: Opening Software

To open the program, double click on your desk top icon.  (The program will open to the screen shown in Figure 2.1 below, which is the demo mode (which allows us to distribute the program so users can test the software). The demo mode contains no directories, categories, or resources.

If you purchased the program you will have a License Key that you’ll need to validate the software. (See Validating Software – License Key below.)

While working in the demo mode you can create as many directories as you wish as well as an unlimited number of categories under each directory.  You will also be able to enter two resources for each category.
However, if you try to enter a third resource in any category the SMART Resource Rolodex License window will pop up and ask you for your License Key.

In order to use the program’s full capabilities your will have to purchase the License Key and validate the software. Or you may decide to continue using it in the demo mode.  (See Validating Software – License Key in Figure 2.2 below.)

Section 3: Validating Software – License Key

To validate your software you must have a License Key.  To obtain a one, please do the following:

1.  Click on the Help menu and then select the sub-menu License

. A window like the one below (Figure 3.1) will appear. Then
follow the 6 easy steps.

2.  Step 1:  Enter Your Full Name

3.  Step 2:  Enter Your Order # or Transaction ID #

4.  Step 3:  Enter Your Email Address (the one you used when you
purchased the software.  This will become your User Name.

5.  Step 4:  Click on the Get User Code button and your user code will
populate into the User Code Field.

6. Step 5:  Click on the Request License Key button and this will send an

email to our support staff with your information.

7.  Step 6:  You will receive an email within 24-48 hrs. with your License

Key. Place your License Key in the License Key Field and press the
Validate and Save button. You will now have full access.

Section 4: Managing Directories

You can have an unlimited number of directories; each directory can have an unlimited number of categories; and each category can have an unlimited number of resources.

Before you can add any resources you must first add a directory and a category for that directory. The hierarchy looks like this:

To add a new directory simply click on the Directories Menu at the top of the menu bar and the Manage Directories window will open.  Add your directory to the field with the * and click the Save button.

Remember, you won’t be able to add a resource link unless you’ve created a directory and that directory has a category. (See Figure 4.1)

Once you’ve added a directory you can enter one or more resources manually or import an unlimited number of resources from an Excel file.  (Please Note: Excel files containing different directories will be available for download on our website www.SMARTResourceRolodex.com.)

In order to import your resources from an Excel spreadsheet do the following:

  • Click on “Import/Export Resources -> Import From Excel” menu button.
  • Click on “Get Sample Importable Spreadsheet” link in the form, as shown in below image.
  • Select the location where you want to save the sample Excel Spreadsheet.
  • column headings – Category_Name, Resource_Name, Description, and Rating (don’t forget the underscores “_” between Category and Name and Resource and Name) -  on your Excel spreadsheet (be sure to keep them in the order shown below in our example).

  • Assign a formula to your file called Resources which allows the program to import the date.  The formula will need to include the entire area of your data and can be done by doing the following:

A.  Select Formula

B.   Choose Manage Name

C.  Select New

D.  Name the new formula Resources

E.   Set the limits of the formula by dragging the dotted line at the bottom right hand corner to include your entire database. You will include the four main columns A,B,C and D and as many rows of resource links you have.  The illustration below demonstrates how it would look if you included up to row 23. (See Figures 4.2, 4.3, 4.4.)

Once you’ve built your excel file you can use the program’s Import function to  bring in all your resources into the directory of your choice.

(See Importing Resources in Section 7 for more details.)

Section 5: Managing Categories

To add, edit, delete and verify your resources click on the Category menu and the Manage Categories window will open.

To edit, delete or add a category, first select the directory you want to work with using the directory drop down box (as shown in Figure 5.1).  To edit a category locate the category you want to edit, click on so the category name is highlighted, and then click on it again to enter the edit mode.  Edit the category as you wish and then click the Save button.

To delete a category select the category you want to delete and click on it so the category name is highlighted, then press the Delete key on your computer’s keyboard.  A small window will pop up with the question, “Are you sure?” Choose Yes to delete or No to keep the category (See Figure 5.2).

Section 6: Managing Resources

You can also add, edit, delete, Verify and import resources from the Manage Resource window.  You will manually add resources and their descriptions in the blank field using the *.

To delete a resource and its description just click on the resource link’s black arrow. This will highlight the link and its description.  Press Delete on your computer’s keyboard to remove the link. Next, press the Save Resource to Category button.

If you change your mind and choose not to delete the resource, then you can simply exit using the red exit button on the top right hand corner of the page and skip clicking the Save Resource to Category button. (See Figure 6.1)

To import resources click on the Import Resource button at the top right.

Then paste the resource links into the blank field and press the Import button.  (See Figure 6.2)

Your resources will be imported into the category you selected, where they – and their directories – can be edited and your sources can be verified. Once completed, select Save the Resources to Category button and they will be saved.

To Verify your resources you can click on the Verify Resource button in either the Manage Categories screen and it will verify all your resources or the Manage Resource screen where you can verify just the resources you’ve recently added.

NOTE 1: Be sure you have the correct directory and category selected.

NOTE 2: Some resources may not verify even though they are a good URL.  This is caused by excessive redirecting with the site itself.

Section 7: Importing and Exporting Resources

To export resources select the Import/Export Resources tab on the main menu at the top of the page, and choose the type of file you would like to use.  You can export your resources database to any location on your computer.  (See Figure 7.1)

To import a file you created using the instructions from Section 4, simply choose Import From Excel from the top menu.  Click the Import button and locate the file on your computer, then double-click the file or click the Open button (See Figure 7.2.)

Section 8: Managing Settings

To set your Database Path for storing your resources directories, simply click on the Settings tab on the main menu at the top of the page

. (See Figure 8.1).

Section 9: Getting Help

If you like to contact customer support, learn more about us, validate your License Key, and/or access written and video help files, select the Help tab in the main menu at the top of the page. (See Figure 9.1)

Section 10: Searching for Categories, Resource Links, Descriptions, and Ratings

You can search for categories, resource links, descriptions, and ratings using the four search field boxes(each with appropriate descriptors) in the program’s Search Area.

You’ll enter text into the Category and Description search fields; URL links in the Resource Link search field; and a number (1-5) in the Ratings search field. Once you’ve entered the appropriate information, you’ll click the Search button.

To clear your search, click on the green arrows just to the right of the Search button. (See Figure 10.1.)

Section 11: Rating Your Resources

If you want to rate your resources, simply move your mouse over the stars, which will cause them to change colors from yellow to blue to green. (See Figures 11.1, 11.2, 11.3.)
